Accounts Receivable Manager – Rosharon Texas

Our Rosharon, TX client is seeking a Accounts Receivable Manager.

Essential Functions:
Ensure department bills customers efficiently, accurately and in a timely manner, with the key goal of having billing completed and out for each customer within two weeks of job completion.
Manage A/R staff in the successful completion of departmental goals, as directed by Supervisor.
Complete all work assignments, as directed by Supervisor, in a timely and accurate manner, making the most efficient use of employee time and talent.
Follow Company and department policies and procedures, as directed by Supervisor.
Observe all federal, state and local laws and regulations.  Document processes as required.
Aid in the formulation of recommendations, including modification of procedures and methods into revised Standard Operating Procedures (SOP’s)
Maintain all departmental records and files, ensuring the safekeeping of all company and customer records and information
Foster good working relationships with field Operations, providing them the guidance and procedures needed to execute billing effectively.
Successfully complete training and cross-training with other department personnel as directed by your Supervisor.
Ensure that all company transactions are conducted in an ethical and prudent manner.
Ensure that documented standards for routine office procedures and systems are being followed, including separation of duties for Accounting, as required by GAAP.
Instruct staff on tasks of Data Entry and processing of A/R, Invoicing, Cash Receipts, NSF information, Deposit processing, Aging reviews, and making appropriate copies of any of the above.
Attends departmental meetings as required and as instructed by the Supervisor.
Perform additional duties or tasks as may be assigned from time to time by the Supervisor.

Minimal Job Requirements:
High School Diploma with business classes required. Prefer an Associate degree in Accounting, Computer Science, or Business Administration with accounting emphasis.
Three to five (3-5) years’ experience with a medium size ($50-150 Million) sales/service company, including supervisory experience and expertise.  Experience must include in depth Excel® and Word® knowledge in an accounting capacity.
Proven experience in maintaining the proper accounting records and files, including data entry, and  updating those records as required.
Good interpersonal skills.  A proven ability to build rapport and generate results cross-functionally and with direct reports.
Ability to work with team members, under pressure, and achieving deadlines and end-of-the-month results consistently.
Suitable mental aptitude to compute business math formulas and to enter financial data and other information into PC programs, as designated.  Ability to compose letters and memos as directed.  This position will require a self-starter that can meet “Close” dates.
Experience with ViewPoint Software is a plus.

Supervisory Responsibilities:
Manager team of accounts receivable personnel effectively in achieving departmental goals and objectives.
Complete staff performance reviews and evaluations on a quarterly basis, providing guidance to staff on areas to improve.  Ensure HR receives final copies of evaluations for insertion into employee file.

Bilingual Administrative Assistant – Houston Texas

Our Southwest Houston, TX client is seeking a contract to hire Bilingual Administrative Assistant to assist the VP of International Sales & Service.

Summary: The ideal candidate for this position would be a Bilingual individual who has supported a salesperson or sales team. Experience working in an international company is also highly preferred.

Responsibilities:
Duties and responsibilities include, but are not limited to, the following. Other duties may be assigned as necessary.
Responsible for effective office organization to include incoming mail and faxes and its distribution, answer incoming phones lines and directing calls and/or taking messages
Establishes, develops, maintains and updates filing system for the Vice President and the department. Retrieves information from files when needed and maintains confidentiality of files.
Schedule and plan conference calls and meetings to include the preparation of agendas and meeting minutes.
Schedule transportation, both air and ground, and other normal business travel arrangements (flight, car rental, hotel, etc. per company policy).
Send out packages via DHL, Federal Express or U.S. Mail as required.
Review expense accounts and verify entries before final approval by the VP – International Sales and Service.
Assist in developing forms, preparing reports and correspondence on computer specific to the department.
Responsible for handling information requests, and performing clerical functions such as preparing correspondence and receiving visitors.
Assist in creating and developing presentations for the VP – International Sales & Service.
Assist the VP – International Sales & Service in the management of his schedule.
Handle special assignments specifically related to the required functions of the department, as directed by the VP – International Sales & Service, Manager Latin & South America, W. Hem. Billing and Quotes Manager, and/or other department heads when necessary.
Assist Regional or District Managers as needed.
Maintain vacation schedules for International Region and District Managers.
Operates fax machine to send and/or receive records and reports from vendors, suppliers or other departments.
Set priorities on all work assignments with time constraints.
Independent judgment is required to plan, prioritize, and organize diversified workload and in recommending changes in department practices or procedures.
Duplication and distribution of various reports to all departments that require the material. As the incumbent becomes more efficient and progresses in department knowledge, he/she will be required to perform additional duties and maintain the department’s working control copy of the ‘SOP’.
Assist in gathering information for the Trend Report, Material Parts Listing, shipping etc.
Prepare statistical data and verify accuracy of information while producing spreadsheets, letters, etc., for the district.
The preparation of the monthly discount report, and the preparation and sending of faxes as required as well as the maintenance and updating of the sales order value report.Preparation of ISO-9001-2000 procedures for the Western Hemisphere at district level, by maintaining all records and books.

Requirements:
Two year associates degree with two years of related experience and/or training; or equivalent combination of education and experience.
Must be bilingual (both written and verbal)
Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Must be able to interact and communicate with individuals at all levels of the organization.
Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (Microsoft Word, Excel, Access, PowerPoint)
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines

CADD/BIM Coordinator – Chandler Arizona

Our Chandler, Arizona client is in need of a CADD/BIM Coordinator.  We are looking for a highly motivated person to join a fast paced MEP/BIM Coordination Team in Arizona.  Solid 3D experience is required, as is a willingness to learn and expand your knowledge in the ever-changing world of construction.  Applicant needs to be ready to hit the ground running!

Duties include (but not limited to):
3D Modeling of Electrical systems.
Coordination with other trades (MEP).
Continuous updating of drawings and models to ensure accuracy.
Working with Field Personnel during the course of installation to maintain schedules.
Working with design teams to help finalize electrical design.
Creating Electrical Permit Drawings within required timelines.
As-built Drawings
Proper file management (following Standards).
Managing Xrefs (from various sources).

Job Requirements:
Outstanding Knowledge of AutoCAD, AutoCAD MEP, Navisworks (current versions 2009-2012 – Revit MEP a plus!).
3D Modeling Experience – 3-5 years min.
Great Communication skills with a positive attitude.
Attention to detail.
Ability to read and interpret Contract Documents (electrical, mechanical, architectural, structural, civil, etc.)
Ability to work in both a team environment and work on tasks on your own.
Ability to travel from office to jobsites as needed.
Knowledge of BIM and how it can be utilized to the End User’s benefit.
Ability to fluctuate workflow to coincide with a fast-track project schedule.

Job Description:

Primary Responsibilities:
The Staff Accountant I maintains the organization’s general accounting records to achieve and sustain high-quality fiscal operations in a busy and complex accounting environment.  The Staff Accountant collects and analyzes data; designs reports of financial information for management and governance purposes; and participates in the budgeting process.

Essential Functions:
Review accounts payable vouchers for proper approval, coding and fund availability;
Verify proper supporting documentation is present and correct;
Research accounts payable inquires received from departmental staff;
Review journal entries submitted by departmental staff for proper coding, accounting treatment and approval; and verify that proper supporting documentation is present and correct;Prepare monthly closing entries and adjustments, as directed;
Assist with budget preparation, including budget revisions and coordinating departmental submissions to prepare budget roll-up;
Assist with year-end closing and audit preparation; and
Other special projects as assigned and requested.

Qualifications:
Must have a Bachelor’s degree in accounting; strong analytical skills; a collaborative working style and ability to coordinate and work cooperatively with a team; and ability to establish strong working relationships with peers and management.  Must also have excellent communication skills and ability to meet deadlines.

Essential Functions:
Collects, calculate, and enters payroll data.
Data entry exp. is a must.
Updates payroll records by entering changes in exemptions, pay rates, insurance coverage, job titles, etc.  Handles department/division transfers.
Inputs hours and earnings.
Communicates with employees, answers their questions, and resolves problems.
Processes garnishments and tax levies, and handles associated communications.

Job Requirements/Qualifications:

Assistant Utilities Director – Smyrna Tennessee

Our Smyrna client is looking for an Assistant Utilities Director on a long term contract basis.

Job Summary:
This classification is responsible for supervising, managing, and coordinating the various activities of the Utilities department while providing technical knowledge and guidance. Duties and responsibilities include supervising subordinate managerial and supervisory staff in the performance of their duties, researching and preparing engineering and construction recommendations for construction plans and other gas and water construction related documents, and conducting field inspections for gas and water construction and maintenance projects. Under general supervision, reports to the Director of Utilities.

Duties and Responsibilities:
Assists with public utilities administration, operations, and supervision
Assists in supervising subordinate managerial and supervisory staff involved in carrying out the utilities functions which includes: water treatment,
waste water treatment, gas distribution, and water and sewer maintenance; acts as technical representative in addressing public concerns.
Performs managerial duties in accordance with Companies policies and applicable laws
Performs site inspections of construction work, buildings, and related systems for compliance with approved plans and with applicable codes
Calculates water, sewer, and gas tap fees using a variety of data resources
Reviews all utility construction plans for proposed subdivision and site developments served by Company utility systems
Oversees the preparation and maintenance of records and files
Researches and prepares recommendations and reports to improve departmental operations and feasibility of utility construction projects
Assists in the review of major construction projects involving the department
Assists with the preparation of the departmental budget and monitoring of expenditures
Ensure all employees adhere to all internal and external company safety policies and OSHA regulations
Provide daily, weekly, or monthly reports to the Director of Utilities, Company Manager, Council, or other departments on project standings as needed
Conduct behavior at all times in a professional manner to reflect positively on customer’s perception of Company Facility
Promote the teamwork environment. Assist co-workers when necessary
Provides coverage in absence of other personnel
Participates in various Company teams to assist in the development and direction of the Company
Establishes and participates in communication meetings
Continues professional growth through outside seminars, professional organizations, and training classes
Represents the Company in community organizations when necessary

Qualifications:
Bachelor’s degree in Engineering or related field required
P.E. preferred but not required with appropriate experience
Ten (10) years experience in utilities operations with considerable experience of a progressively responsible nature in the operation of a municipal utility, including some experience in an administrative and supervisory capacity

HR/Training Administrative Clerk – Beaumont Texas

Our Beaumont, TX client is seeking an HR/Training Administrative Clerk .

Summary:
The HR/Training Administrative Clerk will provides administrative support to assist the HR Department.

Duties and Responsibilities:
Answer incoming calls and route to appropriate party.
Compose and type routine correspondence.
Maintain all HR and Safety files, including set up of new hire and drug & alcohol file folders and other records.
Obtain safety statistical information and assist with all Safety reporting by inputting data into database.
Assist with administration of Safety incentive program.
Prepare and issue training certificates.
Maintain expense reports for the department.
Set up for meetings in conference rooms.
Supply all field operations with requested safety supplies, forms, documentation, manuals, etc.
Order office supplies for HR/Training group.
Other duties as assigned

Requirements:
Previous experience supporting a Safety manager, safety team, human resource team is highly preferred.
A minimum of 1-3 years of experience in an Administrative role.
Proficient in MS Office including: Word, Excel, and PowerPoint is required.
Experience with data entry into a database.
Strong written and oral communication skills is required.
Must be team oriented and a self-motivator.
